A chatbot for businesses isn’t a widget that improvises.

A chatbot that confidently answers something it doesn’t know is worse than no chatbot at all.

Most chatbots disappoint for the same reason: they answer in generalities, make up what they can’t find or trap the customer in a loop with no way out. The problem isn’t the AI model. It’s that nobody decided where the answers come from or what happens when there isn’t one.

When a chatbot for businesses makes sense (and when it doesn’t).

An assistant amplifies the information you already have. If it isn’t written down, that comes first.

It makes sense if…

  • Questions repeat and the answer is written down somewhere: documentation, catalogue, terms, history.
  • There’s enough volume that answering by hand costs hours every week.
  • You can define what the assistant must not answer and who takes over the conversation.
  • Someone on your team can review conversations early on and fix the sources.

Better not, if…

  • The information isn’t written down, or changes every day without anyone updating it.
  • Every answer needs professional judgement or has legal consequences.
  • It’s ten questions a month: a good help page is cheaper.
  • The real goal is to stop serving customers. A chatbot won’t fix that; it’ll make it worse.

A chatbot platform is enough if…

  • There are few, stable questions that fit in a decision tree.
  • It doesn’t need data from your systems, only public information.
  • You want to test the idea in days, not integrate it.

Custom pays off if…

  • Answers come from your documents or your data, and they have to be exact.
  • It has to integrate with your CRM, ERP or website, with per-user permissions.
  • You need to control what data goes to the AI provider and measure the cost of every conversation.

What is a chatbot for businesses?

A conversational assistant that answers customers or staff on behalf of the company. The useful ones don’t improvise: they answer from the company’s own documentation and data, say when they don’t know something and hand the conversation to a person when needed.

Can a business have a WhatsApp chatbot?

Yes, through the official WhatsApp Business Platform, which requires a verified number and approved templates for messages the business initiates. The assistant is the same one as on your website; only the channel changes.

Does the chatbot have to say it’s an AI?

Yes. In the European Union, Article 50 of the AI Act requires that people interacting with an AI system are told so, unless it’s obvious. Beyond compliance, it’s worth explaining what it can and can’t answer.

What happens when the chatbot doesn’t know the answer?

It says so and offers to put the user in touch with a person. An assistant that only answers from what it finds in your sources fails less often, and when it fails, it shows. Unanswered questions are logged: they’re the list of what’s missing from your documentation.

Isn’t a platform like Landbot or ChatGPT enough to build a chatbot?

Sometimes it is. For simple questions about public information, a platform is faster and cheaper. A custom chatbot makes sense when it answers from your data, integrates with your systems, or you need to control what information leaves and what each conversation costs.
